How to turn school emails into calendar events automatically

Updated October 19, 2026

Gmail and Outlook only add events on their own for structured emails like flight and restaurant reservations, so a teacher's email or a school newsletter won't show up on your calendar by itself. To automate it you need something that reads the email the way you would and creates the event, or a quick manual habit for adding dates as you read.

What your email app already does

Gmail and Outlook can pull events out of reservation emails and calendar invitations automatically. A school newsletter that says picture day is Thursday the 12th and forms are due Monday is just text, so neither one picks it up.

The fastest way to do it by hand

  • On iPhone, Apple Mail underlines dates and times in an email. Tap one and choose Create Event, and the date is filled in for you.
  • In Gmail on a computer, open the email, click the three-dot menu and choose Create event. It copies the subject and the email into a new event, and you set the date.
  • Add the deadline as its own event, not only the day itself. The form due Monday matters more than the trip on Friday.
  • Do it while the email is open. If you leave it for later, it usually stays in the inbox.

Why automation rules usually fall short

Some parents set up forwarding rules or automation tools that look for keywords. They work when every email follows the same format. School emails don't. The same school sends a formatted calendar invite one week and a three-page newsletter the next.

How Fambee does it

Fambee reads the email the way you would, finds the date, the time and anything you need to bring or sign, and adds it to the family calendar. Deadlines become reminders. You see what it added and why, and you can undo anything. It connects to Gmail or Outlook with read-only access.

Questions parents ask

Will it add an event for every email?

No. It looks for things that belong on a family calendar, like school events, appointments, deadlines and practice changes. Promotions and newsletters with nothing dated are left alone.

Does it work with Outlook, or only Gmail?

Both. Fambee connects to Gmail or Outlook with read-only access.

What if it gets a date wrong?

You can undo anything it adds, and it never deletes your data. When an email is unclear, for example about which child it is for, Fambee asks you instead of guessing.
