How to keep track of school emails without missing the important ones

Updated October 19, 2026

Send every school email to one place, go through it once a week, and put anything with a date on the shared family calendar the same day you read it. Most missed forms and early pickups happen because the date stayed in the email and never made it to the calendar.

Why school email is so hard to keep up with

It comes from everywhere. The classroom teacher, the front office, the district, the PTA, coaches, and whatever app the school uses this year. Two kids at two schools and the count doubles.

The line that matters is usually buried. Picture day is in the fourth paragraph of a newsletter. The form deadline is in an attachment. The early dismissal is in an email with a subject line about the book fair.

A system that works with plain Gmail or Outlook

  • Make a filter for each school sender (the school's domain, each teacher, the district, the school app's notification address) that adds a School label and keeps the email in your inbox.
  • Pick one ten-minute slot a week to go through everything labeled School. Sunday evening works for a lot of parents.
  • Anything with a date goes on the shared family calendar right then. Add the form deadline too, not only the event.
  • Anything that needs money or a signature gets a reminder two days before it is due.
  • Archive the email once it is on the calendar, so the label only holds what you have not dealt with yet.
  • If a partner shares the load, give them the same filter instead of forwarding everything.

Where this still breaks down

You still have to read every message. One sick week and the backlog is forty emails deep. And the system usually lives in one parent's head, so when that parent is away, nobody else knows what is coming.

How Fambee handles it

You connect Gmail or Outlook with read-only access. As school emails arrive, Fambee reads them and adds the event or task to your family calendar: the picture day, the field trip form deadline, the half day. It shows you what it added and why, and you can undo any of it.

When it can't tell which child an email is about, it asks you one quick question instead of guessing.

Questions parents ask

Should I make a separate email address just for school?

It helps if you are starting fresh, but the school, the district and every app already have your main address, and changing all of them takes a while. A filter and a label on the inbox you already use gets you most of the benefit.

What about messages that come through a school app instead of email?

Many school apps can send a copy of each message by email. Turn that on in the app's notification settings so everything ends up in one place you already check.

Does Fambee need access to my whole inbox?

It connects with read-only access to the account you choose. It can't send, delete or change your email, and you can disconnect it at any time from Settings or from your Google or Microsoft account.
